The Trade Fair Pipeline: Your shortlist before the fair: who is there, who decides and why.

The Trade Fair Pipeline is a shortlist of the buyers you want to meet at a trade fair, which Earlybeurt delivers before the fair: who is there, who decides and why you want to talk to them. A trade fair gives you a few days to meet the right thirty to fifty buyers out of thousands of visitors. Without preparation you depend on whoever happens to walk past your stand, and you come home with a stack of business cards instead of real conversations. Earlybeurt agrees with you which companies and roles you want to meet, selects and reviews the accounts, and delivers per account the decision-maker by name, a reason to talk and a recommended opening. The shortlist is ready before the fair, so you can still book meetings. The deadline is the date of the fair, and we plan backwards from it.

What do you deliver before the fair?

The Trade Fair Pipeline delivers a shortlist of buyers who matter to you. Per account you get the company, the decision-maker by name and a short rationale for why they are worth talking to, such as an expansion, a new production line or a need that matches what you are showing. Earlybeurt adds a recommended opening, so the first conversation at the stand or in the aisle is about their situation straight away. The list is short on purpose. The aim is not to collect as many names as possible, but to have the conversations in a few days that can fill a season. You get the shortlist in a format your team can use to book meetings in advance, so you do not start the fair hoping for chance visitors.

When should you start with The Trade Fair Pipeline?

The earlier, the more you get out of it. Buyers walking a trade fair often choose their supplier in the months before it. If your shortlist is ready well before the fair, you can still book meetings and you are part of that conversation; if it only arrives during the fair, you are a season too late. Earlybeurt therefore plans backwards from the date of the fair: when the profile has to be fixed, when the shortlist is ready, and how much time your team has left to make contact. The date of the fair is a real deadline, not an invented countdown, and we plan the delivery around it. If you come late, we say honestly what can still sensibly be delivered in the time left, and what is better left until after the fair.

How do you pick the right people out of thousands of visitors?

By not starting with who is at the fair, but with who you want to meet. The Trade Fair Pipeline starts from your ideal customer: which type of company, which size, which country and which role makes the decision. Earlybeurt then selects and reviews the accounts that fit that profile and can be met at the fair. One point that is often overlooked: the people standing at a stand are usually sales staff, not the decision-makers you want to reach. That is why we find the person who actually decides for each account, so you book a meeting with the right person instead of swapping business cards with the first one you speak to. The scoring is transparent: for each account you see why it is on the list.

What does The Trade Fair Pipeline cost?

The Trade Fair Pipeline has a fixed project price that we agree up front, and it follows the same scopes as The Buyer Map. You know what it costs before you start. Earlybeurt does not list amounts on this page, because the size of a fair and the number of buyers you want to meet vary widely. The tight deadline of a fair counts in the planning and therefore in the price. It does not have to stop after the fair. You can use the accounts you met as the basis for a Buyer Map of the same market, or have them monitored by The Radar, so you also keep track of the buyers who were not ready this season. You make that choice once you see what the fair delivered, not in advance.

Frequently asked questions

How many buyers are on the shortlist?

Enough to genuinely meet in a few days: usually thirty to fifty. A short list with the right names delivers more than a long one.

What do I do with the accounts after the fair?

You can use them as the basis for a Buyer Map of the same market, or have them monitored by The Radar.
